Email and mobile connectivity are the biggest productivity challenges that executives and business owners face. The reality is business today brings with it constant demands for our attention.

Before the growth of social technologies you would use the internet for email and search from your computer. But in today’s modern mobile world everything, including non-important tasks, are one touch away.

This technology is relentless and continuously disruptive. Using myself as an example: On a weekly basis, I get more than 500 emails, sit in an average of 8 meetings, and spend 30% of my time out of the office. That’s not even considering the impact of text messaging and social media. Yet, I’m not drowning and you don’t have to either.

Your time is limited and a valuable resource.

How to control your email – Uhuru’s techniques

Please note: Companies that rely heavily on email communication and/or reactionary services may not be able to apply these tactics. (Examples: Technical support, Dispatch, or other time sensitive positions and industries)

Email is a convenience and when it’s not convenient you shouldn’t check it.

Planning or scheduling for disruptive tasks, like email, increases the chances that your time is spent in productive ways. Again, using me as the example. Due to my workload, I am only checking email at 11am and 4pm. For all other immediate requests, you can call me on my cell or office line so important matters can be addressed promptly.

Two times a day works for me. Will it work for you? I don’t know.

If you are one of those people who can’t imagine not waking up and immediately checking email and social sites, my next words will be tough. Don’t check email in the morning.

Some stats to calm you…

According to a 2012 McKinsey Global Institute report on the social economy,

knowledge workers spend 28 percent of their time wading through their inboxes. According to Lookout, the mobile-security firm, 58 percent of smartphone users say they don’t go an hour without checking their phones. And not just waking hours. Lookout reported that 54 percent of smartphone users check their phones while lying in bed. Almost 40 percent say they check their phones while on the toilet. Some 9 percent admit to checking their phones during religious services.

Research shows, email:

  1. Stresses you out.
  2. Can turn you into a jerk.
  3. Can be more addictive than alcohol and tobacco.
  4. And checking email frequently is the equivalent of dropping your IQ 10 points.

Handling Email and other digital distractions needs to be a top business priority.
